The Business Critical Issue
In 2005, the Indiana University Health Center began addressing the issue of how to more efficiently manage its student health records, as well as making the content of those records more accessible and usable. The Health Center provides services such as: a full service appointment and walk-in medical clinic, a pharmacy, a laboratory, X-rays, an eye clinic, women's health services, allergy clinic, immunizations, travel clinic, physical therapy, Counseling and Psychological Services (CaPS), and Sexual Assault Crisis Services (SACS). Even though the Health Center had a very efficient paper-based records management system, it knew that moving toward an electronic health record would greatly enhance its efficiency and access to patient health information.
In addition to improved efficiency, Indiana University Health Center needed a solution that would scale appropriately to accommodate its growth while continuing to enable the refinement of its clinical and non-clinical processes. Workflow tools coupled with a centralized clinical database were needed to enable the re-used and re-purposing of data across the Health Center's multiple services. The Health Center sought a technology provider with whom they could partner to leverage the benefits of technology for the provision of high quality, highly efficient health care.
The Solution
Indiana University Health Center investigated competitive offerings, but chose workflowEHR because its ability and willingness to partner with them to develop a comprehensive solution that would help IUHC achieve its goals of enhancing patient care, improving patient safety, cutting costs and improving efficiency.
WorkflowEHR is helping IUHC realize its vision of automating clinical tasks, improving data sharing between departments, improving communications among providers, and providing instantaneous and concurrent access to patient health information, all within a secure environment.
Rules to manage the workflow and lifecycle of documents are configured in workflowEHR, which automates a once manual, paper-based process. The result has been greater consistency in clinical documentation, and greater accountability in accessing, creating, and editing content. Also, under development is a patient portal that will offer Indiana University students access to a personal health record that directly integrates with their Health Center electronic health record.
The solution runs on a scalable and highly available OnBase enterprise content management system developed by Hyland Software, which manages the stored content. The solution is locally hosted on IBM x series servers which are locally managed by the IT staff at IUHC.
The Results
With workflowEHR in place, Indiana University Health Center has greatly enhanced its ability to provide high quality, highly efficient health care to the students of Indiana University.
